January BOD Meeting Minutes

Board of Directors Meeting
January 8, 2001

The monthly meeting of the Avocet Board of Directors was called to order at 7:01 PM on Monday, January 8, 2001, at the Avocet Clubhouse with Paul Cernich presiding, Andrew Goodspeed and Carrie Meersman present. Bruce Hayworth from Today American was also present.

Approval of Minutes

Minutes from the December 11, 2000 Avocet Board of Directors meeting were approved by Andrew Goodspeed, seconded by Paul Cernich.

Comments From the Floor

  • Andy Hopkins, Chair of the Sports Committee, was present to discuss what his committee was looking to do. Tennis gates will be fixed, either by Andy or he will provide an estimate. The Sports Committee will be providing a calendar of events for activities, including tennis. He also talked about finishing the courts; lighting and bottom of fences. The committee also sought approval to paint the front of the pavilion on the lower courts. This request was approved by Andrew Goodspeed and seconded by Paul Cernich, with funds not to exceed $150.
  • Status of Today American – Property Manager 
  • Bruce Hayworth from Today American was present at the January meeting. The BOD reviewed with him the Property Inspection done on Friday, January 5, 2001.

Activities Completed Since Last Meeting

  • Clubhouse roof repaired

Unfinished Business

  • Covenants/Bylaws: Waiting on update for next steps from the committee
  • Long Term Capital requirements were discussed.
  • The BOD discussed having an information board at the beginning of the commons area, where currently there is an outdated picture of the amenities area.
  • The maintenance of the pool house during off-season months was discussed.
  • Clubhouse coordinator proposed costs for maid services; still needs review.
  • White picket fence in front of clubhouse/pool house needs repairing. Today American to provide an estimate.
  • Clubhouse TV cabling was addressed and how that works when someone wants to use it when they rent the clubhouse.
  • Lot #218, which occupies the right side of the amenities entrance was discussed as to what action is currently being taken to maintain landscaping. BOD is in contact with the HOA lawyers and McRae & Stolz on where this situation sits.
  • Wasps on hill by pool house were addressed. At present action is being taken to combat the problem.
  • Still need to repair the warped board at the base of the wheel on the playground equipment. New baby swing still needs to be installed.
  • The termite bond/pest control service for clubhouse was discussed. Today American will provide an estimate.
  • Screens for tennis courts need repair.
  • Janitorial services for clubhouse and restrooms were discussed.
  • The painting of the white fence by clubhouse was discussed.

New Business

  • Pool proposal: Recommended to receive additional bids for maintenance.
  • Discussed procedure for handling ACC and lot maintenance complaints.
  • Discussed the recent issues on requirements for dual drains in pools. Need to check the requirements of Gwinnett County Law.
  • Pest Control companies were contacted for proposals.
  • Collecting bids on fence improvements.
  • Cleaning proposals submitted.
  • Discussed Audit for year. Approved by Paul Cernich, seconded by Andrew Goodspeed.
  • Ballot results for the proposed Covenants/Bylaws were discussed.

The next meeting of the Avocet Board of Directors was scheduled for Monday, February 12, 2001 starting at 7pm in the Avocet Clubhouse.

The motion to adjourn this meeting was made by Carrie Meersman, seconded by Andrew Goodspeed. The meeting ended at 9:08 pm.
