Board of Directors Meeting
March 12, 2001
The monthly meeting of the Avocet Board of Directors was called to
order at 7:06 PM on Monday, March 12, 2001, at the Avocet Clubhouse with
Paul Cernich presiding, Andrew Goodspeed and Carrie Meersman present.
Approval of Minutes
Minutes from the February 12, 2001 Avocet Board of Directors meeting
were approved by Andrew Goodspeed, seconded by Paul Cernich.
Comments From the Floor
Karin Elliott, chair of the ACC Committee, and Angie Dziwoki, member of
the ACC Committee were present to discuss detailed ACC guidelines. The
detailed guidelines were approved by Paul Cernich, seconded by Carrie
Meersman. These guidelines will be distributed, along with a copy of the
change request form and a BOD cover letter to Avocet homeowners. Target
date is by end of March.
Activities Completed Since Last Meeting
- Installation of new baby swing for playground.
- Certified letter to McRae & Stoltz on maintenance of their lot
- Estimates received for repair of clubhouse
- New proposals received for pool contract
- New proposals received for painting of white fence along amenities
area
Unfinished Business
- Covenants/Bylaws: Waiting on an action plan from the committee.
- Long Term Capital requirements were discussed.
- Lot #218, McRae & Stotlz, is pending a response from a certified
letter sent from the BOD to take corrective action.
- Still need to repair the warped board at the base of the wheel on
the playground equipment.
- The termite bond/pest control service for clubhouse: needs major
improvements first. The clubhouse repairs for water damage and
foundation drainage to be investigated for proceeding with action.
- Janitorial services for clubhouse and restrooms were discussed. A
decision is expected to be made by April. BOD is collecting bids for
yearly service to the restroom areas.
- The painting of the white fence by clubhouse was discussed. Approval
to begin the painting was approved by Paul Cernich and seconded by
Carrie Meersman. Weather will dictate and start date.
- Pool proposals have been received and BOD is awaiting a
recommendation from the Pool Committee.
- Discussed the recent issues on requirements for dual drains in
pools. Need to check the requirements of Gwinnett County Law.
- Discussed Audit for year. Approved by Paul Cernich, seconded by
Andrew Goodspeed
- Highwoods Property: BOD is looking for a Neighborhood Representative
to be our liaison with the property management company to stay updated
on tree planting, lights and garbage dumping.
- ACC Guidelines: Refer to comments from the floor.
- Cleaning Supply proposal submitted was approved by Carrie Meersman,
seconded by Andrew Goodspeed. Waiting on status of purchase.
New Business
- Clubhouse Coordinator - looking for a replacement as current
coordinator is moving. Need to confirm termination date.
- Posting of P&L on website. This will be done on a monthly basis
for all homeowners to see.
The next meeting of the Avocet Board of Directors was scheduled for
April 9, 2001 starting at 7pm in the Avocet Clubhouse.
The motion to adjourn this meeting was made by Paul Cernich, seconded
by Carrie Meersman. The meeting ended at 9:14 pm.
