Board of Directors Meeting
November 5, 2001
The monthly meeting of the Avocet Board of Directors was called to order at 6;00 PM on Monday, November 5, 2001, at the Avocet clubhouse with Paul Cernich presiding. Also in attendance were Nick Carter, Cris Townsend, Bruce Hayworth and Andrew Goodspeed.
Approval of Minutes
The October minutes were approved
Activities Completed Since Last Meeting
- The kids Halloween party was held
- The proposed new covenants and bylaws were mailed along with voting ballot
- A Town Hall meeting was held to discuss the proposed new covenants and bylaws
- All South letter was sent and agreed upon
- The termite treatment for the clubhouse was completed
- The clubhouse drainage and renovation and gutter addition was completed
- Violation letters were sent
Unfinished Business
- Long –term capital requirements – 5 year projections
- Clubhouse improvements – lighting and floor in kitchen
- Access to tennis courts – fence and locks (see New Business #3)
New Business
- Andrew Goodspeed, representing the ACC, was present to discuss fence guidelines as they relate to corner lots; after some discussion, Andrew and the Board agreed to keeping the guidelines as they are
- Andrew Goodspeed, also representing the Information Committee, informed the Board that he has set up a discussion forum that will be linked the the Avocet HOA website; this is in response to a suggestion made at the Town Hall meeting and is for homeowner discussion pertaining to the proposed new bylaws and covenants; a mailing regarding the highlights of the Town Hall meeting as well as this new discussion forum was discussed; Cris Townsend will follow up with the Covenants committee regarding this mailing
- Bruce Hayworth, from Today Management, presented an estimate from Atlanta Fence Co. for replacing the locks and installing a new gate and fence section to the tennis courts; the Board requested that he get one or two more estimates; a lock on the bathroom doors was also recommended and approved; all locks will use the same pool key
- Bruce Hayworth also reported on the pool maintenance; the big patches on the bottom of the pool will be fixed in March
- The Association’s insurance is being discontinued as of the end of the year, due to a change within that company; Bruce Hayworth is getting bids to replace the carrier as of Jan. 1, 2002
- Liens have been placed on two properties in an effort to collect delinquent Association fees; one other delinquent account is being pursued
- October financials were not ready as of meeting date and will be mailed to the Board
- The Board requested Bruce Hayworth to have some rocks and pinestraw installed around the clubhouse, in an effort to control the drainage problems.
- In response to a homeowners request for a patriotic display at the entrance of the subdivision, the Board agreed there was really no good place to put such display, and recommended that homeowners continue with their own individual displays of the flag.
Comments from the Floor
Steve Knapik, an Avocet homeowner, joined the meeting in progress. He was interested in knowing how the Board was elected, what the Violation letters looked like, and had several questions and comments regarding the proposed new covenants and bylaws; if the current proposal does not pass, Steve has volunteered to be on the future Covenants committee to help make further revisions to the covenants and bylaws in an effort to get a version that will pass; Steve would also like to be a regular visitor at the monthly Board meetings
The next meeting of the Avocet Board of Directors was scheduled for Monday, December 3, 2001 starting at 7 PM in the Avocet clubhouse.
The motion to adjourn this meeting was made by Cris Townsend, seconded by Paul Cernich. The meeting ended at 8 PM.
