Avocet BOD Minutes from
September 2, 2002
The meeting was called to order at 7:08 p.m. In attendance were Andrew
Goodspeed, Sarb Khalsa, Lisa Wells, Nick Carter and Jim Seigler.
The August 5th, 2002 minutes were approved. It was discussed that
the annual meeting, to elect a new board, would be held on Tuesday, September
24, 2002. The annual meeting announcement is to be mailed out to each home next
week. Included in this mailing will be a nominee form, proxy form for
voting. There will also be information about the AVOCET website, new locks on
the tennis courts and information about the pool closing party to be held on
September 15, 2002. Bruce Hayworth, from Today Management, will be in
attendance.
Budget changes were discussed. Lara Foreman, chair of the Landscape
Committee, requested $5,000 to improve the curb appeal at the front of the
neighborhood. This may include lighting and a larger AVOCET sign.
Jim Seigler indicated that after the pool patching was completed the patch
should hold for this season and possibly next season, but at some point the
entire pool should be resurfaced. There is $15,000 under pool capital
reserves. New fencing around the pool was estimated at approximately
$7,500. At the August meeting it was asked why a new fence was considered if
there was a discussion to move the playground and extend the pool. This idea
was tabled and can be brought up to the next board. Also to be turned over to
the next board will be the setting up of pool and tennis court rules.
The next board will also need to be made aware of any building issues
regarding lot 218.
The budget was approved for the 2002-2003 year.
An amount of $500 was requested to fund the pool closing party to be held on
September 15, 2002. This amount was approved.
A new community sign (at the corner of Avocet Drive and the private drive
leading to the clubhouse) was suggested. Jim Seigler said that he would contact
Philip Halton and ask if he’d be interested in constructing a new sign.
The signs indicating a house for rent at 4650 Avocet Drive was in violation
of the sign ordinance. The county was to be contacted to ask what can be done
regarding this violation.
Committee reports:
- Bill Wells was in attendance to report for the Sports Committee. He
reported that the new score keepers were installed, the miracle sweeps are ready
for use, and that there are new chairs on the upper courts.
- There is a tennis ladder now available for men’s and women’s singles and
doubles matches. This ladder is open to all neighborhood residents and out of
neighborhood tennis members current with their dues.
- The committee is still researching windscreen companies. Southeastern
Tennis Supply submitted a bid for $3,800. Bruce Hayworth indicated that
Courtmakers has a bid in for $3,100. This bid includes the Avocet logo. A call
will go out to Bruce so that the Sports Committee can review this bid.
- The committee would like to submit approvals for Miracle Sweep covers in
order to prolong the life of the sweeps.
- There is an idea to install lights on the fans in both tennis
pavilions. There is also an idea to have separate wall switches to operate the
fans.
- The woodwork/deck flooring at the pavilions and stairs needs to be pressure
washed.
- The tennis court doors need springs so that the doors will close and lock as
there have been issues with residents not closing the doors thereby defeating
the purpose of the new fencing, doors and locks. Taylor Lock and Key will be
contacted regarding springs, and this can be approved via email.
- There needs to be a long-range plan to resurface the tennis courts and see
about having a light installed in-between courts 1 & 2. The resurfacing
will need to take place in approximately two years.
- There is also a need for a backboard to be installed on the lower
courts.
It was decided that the HOA needed to purchase a 20 or 24 foot extension
ladder (for outdoor use e.g. trimming tree branches) and a 10 foot stepladder
for interior clubhouse use. An amount of $300 was approved for these
purchases. Nick Carter will be in charge of purchasing these items.
The subject of having Brandon Stokes as the AVOCET Club Pro was
discussed. Any issues regarding liability were discussed. Both Brandon and
AVOCET Club have liability insurance. Brandon will be in charge of organizing a
quarterly Round Robin (amongst the adult residents) as well as a clinic for the
AVOCET children. This information, as well as information about Brandon’s
tennis services will be advertised on the AVOCET website.
There was a request for approval of a four month trial period for Brandon’s
services. The particulars of Brandon’s services/requests will be discussed
between Brandon and the Sports Committee. These particulars can be approved
(by the board) via email. The trial period was approved.
It was decided that the AVOCET Architectural Control Committee could be
approached about uniform mailboxes as the current mailboxes are not attractive
and detract from the beauty of the homes in AVOCET. This will lend itself to
curb appeal. Nick Carter shared an article from the Wednesday, June 26, 2002
Atlanta Journal Constitution on how "ugly" mailboxes detract from a
home’s beauty and curb appeal. This article will be placed on the AVOCET
website. This issue will be brought up to the next BOD.
